This standalone Cancellation and Refund Policy establish the precise contractual and fiscal terms governing flight cancellations, scheduling modifications, and the return of funds for private air charter arrangements coordinated by Zavorenlia. Due to the complex nature of managing specialized aircraft infrastructure, advanced slot booking, and airport positioning schedules, we enforce a strict, time-delimited framework to address journey updates, client cancellations, and failure to board events.

1. Preliminary Advisory Consultations

As detailed in our primary site guidelines, all initial consultation slots coordinated through our web scheduling portal are provided on a complimentary, no-fee basis. Because no charges are levied and no final booking status is achieved during this phase, these preliminary appointments sit outside the cancellation penalty framework. Clients may freely rearrange or dissolve their web-scheduled advisory appointments without any structural penalty or processing fee.

2. Time-Based Cancellation Tiers and Retentions

A flight contract transitions into a finalized booking status exclusively when full cash settlement is corroborated at our administrative headquarters inside the International Commerce Centre (ICC). Once this payment milestone is crossed, any structural dissolution of the itinerary is subject to the following strict time-bound rules. Timeline computations are determined using the exact hour formal written notice is delivered to jet@zavorenlia.com or signed at our office, calculated against the coordinated wheels-up schedule.

  • Notice Period of 48 Hours or More Prior to Departure: The client is eligible for a full refund of the corroborated cash settlement. Zero administrative deductions or processing penalties apply.
  • Notice Period Between 48 Hours and 24 Hours Prior to Departure: The client is eligible for a 50% refund of the substantiated cash settlement. Zavorenlia retains the remaining 50% as operational compensation to offset non-refundable carrier positioning overheads.
  • Notice Period of Fewer than 24 Hours Prior to Departure: The client retains eligibility for a 50% refund of the substantiated cash settlement, provided clear communication is established before departure.
  • No-Show Window (Failure to Arrive or Board): Zero percent refund. Total retention of the cash settlement applies.

3. The 24-Hour Notification Cutoff and No-Show Rules

To qualify for a 50% partial cash return when canceling within the 24-to-48-hour window, clients must ensure clear operational coordination is established. If a passenger encounters an unexpected block or can no longer board, they must submit an explicit alert before the 24-hour window closes. This window allows our operations team to release scheduled airport runways and notify the direct air carrier.

Any failure to arrive at the specified airport terminal, pass security checkpoints, or report to the aircraft boarding gate within 60 minutes past the coordinated departure time will be classified as a No-Show. A No-Show event immediately ends our transport liability. In these cases, the entire cash sum paid at our ICC facility is retained by Zavorenlia to cover aircraft positioning, flight crew block times, and airport slot fees. No partial returns or account credits will be issued under No-Show conditions.

4. Accepted Refund Channels and Procedures

Once a cancellation request is reviewed and formally accepted by Zavorenlia management under the conditions of this policy, the client can select one of two exclusive disbursement pathways. Alternative payment channels cannot be used for returns.

  • Bank Wire Transfer: If the client chooses an electronic bank transfer, they must provide corroborated corporate or individual bank routing details. This information must be sent via email from the specific address used during the initial booking (jet@zavorenlia.com). To comply with regional anti-laundering standards, the receiving bank account name must match the name on the original cash confirmation manifest. Zavorenlia will initiate the transfer through standard institutional clearings within a reasonable operational period.
  • In-Person Cash Settlement: If the client prefers a physical cash return, they must schedule an appointment and visit our corporate office at the International Commerce Centre (ICC), 1 Austin Rd W, West Kowloon, Hong Kong. Cash balances will only be handed over after identity corroboration. The contracting individual must present a valid passport or identity document, or provide an official agent with notarized power of attorney paperwork.

5. Data Privacy Alignment During Cancellations

When executing cancellations and managing refund routing, any personal banking metrics, routing identifiers, or identification documents collected will be handled in strict compliance with the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong (PDPO). This data is processed solely to substantiate the identity of the recipient, protect against fraud, and complete fiscal transactions. It will not be stored longer than necessary to satisfy legal bookkeeping reviews.

6. Operator Cancellations and Operational Safety Adjustments

If a journey cannot proceed due to direct carrier maintenance complications, unexpected airport slot withdrawals, or air traffic control decisions, Zavorenlia will work to reorganize the itinerary using an alternative aircraft from our six available categories. If a matching alternative cannot be provided due to circumstances outside our control, a full cash return will be issued, free of any processing penalties. Zavorenlia cannot be held liable for any extra passenger travel overheads, accommodation costs, or secondary commercial losses caused by operational updates.
